Suffolk County New York Clerk's Office Launches Enterprise Content Management Land Records Solution

New Web-based portal provides county citizens with access to property documents and information

Suffolk County (New York) Clerk's Office has implemented FileNet Enterprise Content Management (ECM) to support access to recorded mortgages, deeds, liens, judgments, and related property information in the public domain. The online system enables Suffolk County citizens to immediately access recorded documents in the FileNet repository.

The Suffolk County Clerk's Office receives thousands of records every day. The office, which is responsible for recording all property documents for the 1,000-square-mile county, was faced with a mass of paper and hindered by its remote location.

Today, the county's FileNet-based system is available to citizens 24/7 via the Internet, contains more than 16 million land record documents, and is growing by 15,000 documents every day.

By replacing the legacy, manual-entry process for document recording, the new system enabled Suffolk County to automate its business processes -- reducing document recording time from weeks to a single day. Further, the system has created an opportunity for a new revenue stream for the county. Beginning in 2005, Suffolk County plans to offer expanded functionality to businesses that interface with the County Clerk's office through a fee-based service. This new service will offer businesses increased search capabilities and "push technology," providing alerts of updated information in the system to subscribers via e-mail.
